The USA TGC Convention Planning Thread

This thread will be used to help plan out the event.

We will probably book a hotel for the members coming in from out of town.

After the list fills up, those people who want a booth will be placed on a waiting list and if someone decides to drop then they will get a booth. Its that simple.

If you are bringing a guest with you and they will be joining the room, I would like to know by either email or by posting in this thread asap. The more I know about who are

going, the better I can plan the fees.

Planning Notes:
Room Notes:
We already have the room booked for (Currently Unknown).


There are no room assignments. However, the room numbers must be equal. So if there are 16 attendees altogether, we will not have 6 in one room and 10 in the other. We will have 8

and 8 in each room.

Room Fees:
Room fees will be calculated when the final tally of attendees are figured out.



Anyone who wishes to join the room must either post in this thread or pm before the end of February of 2009.

A deposit of $(Unknown) is required to ensure your spot in the room.
Deposit information will be posted when it is available.



Rules of the TGC Hotel Room:

You MUST be over 17 to join this room. No ifs, ands, or buts about this.
Drinking is allowed but only within the room(s). You must be over 21 to drink.
No use of illegal substances in the room or outside the room(s).
No smoking in or outside the room(s).
PLEASE don't be an ass. Respect others space and property.

More info to follow as we progress.

I would also like to suggest that if you are planning to fly in, please make your destination to Kansas City International.

Michael,

Kudos if you want to try to plan your own convention. I had to change your thread subject though to say "Un-official". This in no way affiliated with TGC. Please make the same changes to your thread.

By the way, hotels don't generaly let more than a couple (2-3) adults in a room. I also wouldn't reccomend staying in the same room with ANYONE that you meet on the internet (even this site) no matter how well you think you know them!

First off I live in Ohio. So I would be able to make it becasue Kansas is closer than California. Second, The room reservations should be more like 2 to a room just because they could split the cost or something. Third what are you lining up on the agenda here to do/ accomplish. I honestly would love to be here and host a video of my upcoming game The Last Great Swordsmen. I must first know what else game related material is occuring. Keep me updated and I will check into this; about making this idea of yours a reality.

Is there anyway for this to be affiliated with TGC officially?

As far as the room thing goes, Its up to the discretion of the person going as to if they are going to room with another member.
Once we get a head count of who might be interested in going then we will worry about room and cost and all that.

Also if anyone is willing to help with the co-ordination of events for this it would be greatly appreciated.
We need things like booths and games and what not.
Im hoping to get the TGC staff to attend as well.
Maybe have a lifting veils type thing and a press conference with what ever staff attends. OH! the possibilities

As far as what to do at a convention like this im not sure. This is new to me as well haha so its going to be a learning experience.

People shouldn't share rooms, it would simplify things if everyone just got their own. If someone is coming a minor price increase isn't going to deter them.

The TGC convention was cool last year. I'm not sure if I'll be able to go this year, though I'd like to. What made it work was that each TGC member had a presentation to give, and they unveiled some cool new stuff. It it was structured like that then it would work.

Generally stateside attempts fail because everyone complains about the location. I flew from Germany to England to attend, so everyone can deal with it. If something real is going to happen there then people will attend.

Here is our prospective location at this point.
Im going to find the hotel that is closest to that and post all the info here.

Also Once we find out how many people are coming we will find out the room situation.

Hmnm, this sounds interesting. I'll be turning 17 in April, and looking for ANY excuse to get out of the house. I just may attend this. Mind you it would be an expensive airline ticket, but if there are enoug good attractions, I'd be in for it.

Ex.: If any of the TGC guys joined in, I'd prepay in an instant
I thought about going to the UK for the next convention, but it's just to expensive atm.

I would go and make a week of it, would be a good holiday idea as im not into shopping or sunbaving, but at about £400, (About $800) for a return flight from the UK, its a little expensive

Erm, why not go to the official one in the UK? Advantages are it's nearer for you, a lot cheaper, actually has members of TGC staff going to it, is most likely going to be a bigger event, it's right around the corner rather than a year away, and has the positive side effect that I won't be there to murder you. Look out for the other bloke though...

Don't forget you are not including accommodation or spending money. Easily over £500 I would say.

I am going to the UK one this year, costing about £180 + £100 for travel and spends, total about $560.

last years was pritty good, Although i didn't like the early starts, (breakfast about 8AM), but having a private bar was nice

Yes actually!

Ballroom Specs:

$900 per room per day. Each room is 40 x 70.

10 - 8 foot tables. Rectangle tables provided with skirting.

8 booths per room.

$25 per table after the original 10.

Double Tree, Spring hill suits and residence inn are within 5 minutes of the area.

So the first thing I need to know is who is going. that way I know how big of a room to get. Then I need to know how many people are planning on setting up a booth.

Ill look at the hotels and post which one we will use.

And once I have a good guess of the people going I will tell you the price for admission as well as booth price.
